How to Write Measurable Acceptance Criteria
Acceptance criteria tell the user how to decide whether the work is complete and acceptable. Without them, two qualified people can follow the same instruction and make different decisions.
Replace subjective words
Words such as correct, adequate, tight, clean, normal, and secure are often necessary, but they need context. State the observable or measurable condition behind the word.
Weak: “Tighten the bolts securely.”
Stronger: “Tighten the four mounting bolts to the approved torque in a cross pattern and mark each completed fastener.”
Use the right type of criterion
- Numerical limit: 40–50 psi, maximum 180°F, 25 ± 2 N·m.
- Attribute condition: no visible cracks, both latches engaged, label readable.
- Functional result: emergency stop halts motion and requires a deliberate reset.
- Record requirement: actual reading entered and work order number documented.
Identify the measurement method
A limit is incomplete when users do not know where or how to measure. Define the instrument, location, operating state, sampling plan, or reference drawing.
Separate target from allowable range
The preferred setting and the rejection limits may differ. When that distinction matters, provide minimum, target, and maximum values.
State the reaction plan
Every significant criterion should have an action if it is not met. The action may be adjustment, reinspection, hold, corrective work order, supervisor notification, or engineering disposition.
Confirm the criterion is maintainable
Do not put an unapproved number into a procedure simply because it sounds precise. Criteria should come from drawings, specifications, OEM instructions, validated process knowledge, or approved internal standards.
